Best software to replace a coaching tool stack

How do I stop paying for six different coaching tools?

9 min read1,930 wordsChecked 22 September 2026

Nobody sets out to buy twelve subscriptions. Each one was a reasonable decision on the day it was made: $12 for scheduling, $25 for contracts, $99 for a community, $149 for course hosting. The total is what nobody adds up.

The 2026 Coaching Business Report puts that total at $539 to $600 a month, or $6,500 to $7,200 a year. It also attributes six to ten hours a week to coordinating between the pieces, which at any reasonable rate is the larger number by some distance.

This list is ordered by one countable thing: how many existing subscriptions each product lets you cancel. Different stacks have different answers, which is why the winner here is not the same for everyone.

The short answer

A typical fragmented coaching stack runs $539 to $600 a month across twelve tools, plus six to ten hours a week coordinating between them. Coachful replaces seven of those lines from $29 a month and we make it. GoHighLevel replaces the marketing half more comprehensively; Kajabi replaces the content half better.

Every entry, in detail

1

Coachful

We publish this site. The criterion here is narrow and countable: how many existing subscriptions a product lets you cancel.

Against that, Coachful replaces scheduling, video, payments, contracts, course hosting, community and the website — seven of the twelve lines in a typical stack — from $29 a month.

What it does not replace is worth stating. Payment processing is unavoidable at around 3% of revenue. A dedicated email marketing platform is still better for broadcast newsletters to a large list.

And for a business that is genuinely a content business, Kajabi does the content half better than we do.

Best for

Coaches paying for four or more separate tools, which is most practices past their first year.

Where it falls down

It does not replace payment processing or a dedicated email marketing platform, and for a genuine content business it does not replace Kajabi.

2

GoHighLevel

GoHighLevel replaces the marketing half of a stack more comprehensively than we do. Email, funnels, pipelines, automation and pages all collapse into it.

For a coach whose twelve subscriptions are mostly marketing tools, this cancels more of them than anything else here.

It has no coaching layer, so programmes, session structure and client progress stay wherever they already are. And the configuration cost is weeks rather than an afternoon.

Best for

Coaches whose stack is mostly marketing tools — email, funnels, pipelines, automation — rather than coaching delivery.

Where it falls down

Replaces nothing on the coaching side, so scheduling of sessions, programmes and client records all remain separate.

3

Kajabi

Kajabi genuinely replaces four substantial lines: course hosting, email marketing, the website and the checkout. For a content business those are the expensive ones.

It is better than us at all four, which is why a content-led coach should weigh this seriously rather than treating it as a competitor to dismiss.

It does not replace scheduling or contracts, and at $179 a month the saving depends entirely on how many of its four strengths you were actually paying for separately.

Best for

Content-led businesses, where course hosting, email, website and checkout are the four biggest lines in the stack.

Where it falls down

Does not replace scheduling or contracts, and at $179 it is the most expensive single subscription here.

4

Systeme.io

Systeme.io is the cheapest broad replacement on this page at $27, and it collapses funnels, email and course hosting into one line.

For a coach whose main cost is marketing tooling and whose budget is tight, it cancels more per dollar than anything else here.

It has no coaching-specific layer, so scheduling, contracts, client records and programmes all remain wherever they are.

Best for

Coaches on a tight budget who want to collapse funnels, email and course hosting into one cheap subscription.

Where it falls down

No coaching layer at all, so the practice side of the stack survives intact.

5

Delenta

Delenta is the cheapest entry on this page at $19 a month and is genuinely coaching-shaped, with video and scheduling included.

For a coach whose stack is a scheduler plus a video subscription plus a client spreadsheet, it cancels those at a very low price.

It is narrower on the commerce side, which means the course, community and payment lines are less likely to disappear with it.

Stack cost and admin-hours figures from the 2026 Coaching Business Report. The hours figure is a practitioner estimate rather than a measured study.

Which half of your stack is expensive?

The answer to this question depends entirely on what your twelve tools actually are, which is why the top of this list is not the same for everyone.

A marketing-heavy stack — email, funnels, landing pages, automation, social scheduling — is best collapsed by GoHighLevel or, on a budget, Systeme.io. Neither touches the coaching side.

A content-heavy stack — course hosting, email, website, checkout — is best collapsed by Kajabi, which is better than us at all four of those.

A coaching-heavy stack — scheduling, video, payments, contracts, client records, programmes, community — is what Coachful is built to collapse, and it is the most common shape for a practice whose revenue is coaching rather than content.

So before choosing, list your subscriptions and see which half the money is on. That takes ten minutes and changes the answer.

The consolidation audit

  1. List every subscription at its annual price

Annual, not monthly. $25 a month is easy to ignore; $300 a year for a handful of signatures is a decision you would not make twice.

  2. Mark everything you have not opened this month

Social schedulers and community tools are the usual offenders. These can be cancelled today, before any consolidation decision.

  3. Find the duplicates

Paying for a scheduler alongside a platform whose scheduling you never enabled is extremely common and invisible until you list them.

  4. Work out which half the money is on

Marketing tools or coaching tools. That determines which product on this page cancels the most for you.

  5. Time one week of coordination

Log every minute spent moving information between systems. Most coaches find six to ten hours, and that figure is more persuasive than any price comparison.

How many of the eleven parts does each entry run?

Scheduling, video, payments, contracts, programmes, habits, courses, community, website, email and a client app. Every part an entry does not run is a separate subscription, or a job done by hand.

From the Best Coaching Software parts register. "Not recorded" means the register does not record the part for that product, not that the product lacks it.

What does the parts count mean for your monthly bill?

A product that runs fewer parts is not worse at what it does run. It means the rest of the practice sits in other tools, each with its own subscription and its own login for the client.

So compare the price in the table with the price of what it leaves out. A lower headline price plus three add-on tools is often the more expensive stack, and it always has more joins where a client or a payment can fall through.

Common questions

How do I stop paying for six different coaching tools?

List them at annual prices, cancel anything you have not opened this month, find the duplicates, then work out whether your spend is on marketing tools or coaching tools. That determines which consolidation product cancels the most for you.

What does a typical coaching software stack cost?

$539 to $600 a month across roughly twelve tools, or $6,500 to $7,200 a year, plus six to ten hours a week coordinating between them. The time cost usually exceeds the subscriptions several times over.

Which tool replaces the most subscriptions?

It depends on your stack. Coachful replaces seven coaching-side lines from $29 and we make it. GoHighLevel replaces the marketing half more comprehensively at $97, and Kajabi replaces course hosting, email, website and checkout at $179.

Can one tool replace everything?

No. Payment processing at around 3% of revenue is unavoidable, video is usually separate, and a dedicated email platform remains better for broadcast newsletters to a large list. Anything claiming to replace all twelve lines is overstating it.

Is consolidating worth the migration effort?

Usually, if you are running four or more tools. The migration is an afternoon or two; the coordination cost is six to ten hours every week. But cancel the unused subscriptions first — that part is free and immediate.

What is the cheapest consolidation option?

Delenta at $19 a month for scheduling and video, or Systeme.io at $27 for funnels, email and courses. Both are narrow, so the number of subscriptions they actually cancel depends heavily on what your stack contains.

How many of the eleven parts does Coachful cover?

11 fully, on the Best Coaching Software parts register. Coachful publishes this site, so weigh that accordingly.

The verdict

Before choosing anything, do the free part: list every subscription annually, cancel what you have not opened, and remove the duplicates. Most coaches find two lines they had forgotten about, and that costs nothing.

Then consolidate the half where your money actually is. Marketing-heavy stacks collapse best into GoHighLevel or Systeme.io. Content-heavy stacks collapse into Kajabi, which is better than us at content.

Coaching-heavy stacks — scheduling, payments, contracts, programmes, community — are what Coachful replaces, from $29 a month. And judge the decision on the hours rather than the subscriptions, because the hours are worth considerably more.

How to disagree with this

The criterion above is the argument. If it does not describe your situation, the order under it is not for you, and one of the other 10 lists probably is.
